Hours are 8.0 hours/day Monday through Friday, 201 days annually.

Specific Duties and Responsibilities:
- Maintains a positive working relationship with co-workers, staff and the public.
- Performs secretarial duties such as keyboarding, filing, distributing mail, scheduling appointments, answering phones, as well as preparing and distributing a daily morning staff bulletin.
- Receives, receipts and deposits monies regularly.
- Completes financial reconciliation of all Rochester Primary School accounts including processing district and ASB purchase orders and completes monthly payroll.
- Maintains accurate student records including entry of discipline, health and attendance data in support of attendance secretary/registrar and nurse.
- Supports registrar to register/withdraw students when necessary.
- Point of contact for all substitute employees, responsible for coordinating and assigning all substitute employees and tracking staff leave.
- Assists students with admit slips, early dismissals and other related matters.
- Manages the RPS website, facilities use, reader board and administrative calendars.
- Coordinates newsletters, field trips, family conferences, the yearbook and updates social media.
- Prepares and organizes materials for principal meetings.
- Responds to ill or injured students in the absence of the nurse and dispenses daily medications as needed.
- Responsible for tracking and managing supply inventory for the main office, including ordering supplies as needed.
- Responsible for maintaining an inventory of all books, materials, equipment and furniture throughout the school.
- Works with materials of a confidential manner and treats them as such.
- Coordinates all school volunteers and background checks
- Performs other tasks as assigned by supervisor.
General Duties and Responsibilities: To serve as the administrative secretary to the principal and assistant principal and to carry out appropriate duties in such a way as to provide the best possible support for the administration, staff and students of Rochester Primary School. The position also requires an awareness of all activities within the organization. The secretary frequently becomes confronted with office emergencies, interruptions and changing needs.
Minimum Qualifications:
- High School graduate or equivalent. Two years successful secretarial/bookkeeping experience preferred.
- Appropriate secretarial training and knowledge of modern office procedures including grammar, English, spelling, filing systems, standard office equipment and machines.
- Knowledge and ability to operate computers. Preference may be shown to those candidates with demonstrated experience with PC computers using Microsoft Word, Excel, PowerPoint, Google Suite, Skyward (Qmlativ) and other presentation and reporting software.
- Demonstrates interest in children and education.
- Demonstrates ability to communicate in a professional manner both orally and in writing.
- Demonstrates courteous and efficient conduct with employees, students and the public.
- Demonstrates ability to work effectively under pressure often with interruptions.
- Demonstrates handling confidential situations in an appropriate manner.
- Successful Washington State Patrol and Federal Bureau of Investigation Fingerprint Clearance.
