Introduction

We are seeking a professional, well-presented, and highly organised Receptionist to join our team. The successful candidate will serve as the first point of contact for residents, clients, and service providers, providing outstanding front desk and administrative support to ensure the efficient operation of our estate.

Duties & Responsibilities

ROLE PURPOSE

The Receptionist is responsible for providing secretarial, clerical, and administrative support to ensure that estate services are delivered in an effective and efficient manner, consistently achieving world-class service standards.

 

KEY RESPONSIBILITIES

  • Receive, direct, and relay all incoming telephone calls and messages professionally
  • Greet and assist residents, clients, and service providers, directing them to the correct department
  • Assist in the planning and preparation of meetings, conferences, and teleconferences
  • Process levy payments and submit schedules to the managing agent for allocation
  • Enrolment of new owners, including capturing of occupancy certificates, offer to purchase, and ID documents
  • Manage biometric access system — granting and cancelling access as required
  • Update and maintain resident and contractor databases and all filing on the document management system
  • Coordinate switchboard repair and maintenance and keep the telephone directory updated
  • Monitor office consumables stock levels and perform routine office administration
  • Comply with Health & Safety regulations and assist the H&S Officer as required
  • Serve as backup for vetting and enrolment of staff, residents, tenants, and contractors

Desired Experience & Qualification

QUALIFICATIONS

Preferred (one or more of the following):

  • Secretarial Certificate or Diploma
  • Certificate in Business Administration
  • Certificate or Diploma in Office Management

 

Experience in lieu of formal qualifications:

  • 2–5 years’ experience in a reception or administration role
  • Demonstrated experience in property management, estate, or corporate office environments
  • Proven ability to manage front desk operations independently

 

MINIMUM REQUIREMENTS

  • Grade 12 / Matric (essential)
  • 2–3 years’ experience in a receptionist or administration role
  • Proficient computer literacy — Microsoft Office (Word, Excel, Outlook)
  • Clear and professional verbal and written communication skills
  • Valid South African ID or work permit
